For the initial ramp-up phase of our North American operations we are looking for a passionate Travel Management Specialist who wants to CELLebrate in fast-paced and fast-changing environments. As part of the ramp-up team, you will work closely with the HR Team in St. Thomas, our PowerCo SE team members at Headquarters in Germany as well as colleagues from the Volkswagen Group Canada in Ajax, ON. Reporting temporarily to the Chief Human Resources Officer for VGCA, you will be responsible for managing the end-to-end corporate travel processes, ensuring compliance with travel policies, and providing support for visa applications, expense reconciliation, and reporting. The role requires proficiency in SAP Concur and collaboration with finance teams to ensure accurate travel expense processing and policy adherence.

  
 
How you will CELLebrate

Travel Process Management:

  • Ensure all travel bookings are processed in line with company policies and budget constraints.
  • Provide support and advice to employees regarding travel procedures and best practices.
  • Work closely with travel vendors, agencies, and internal departments to ensure smooth travel experiences.

Visa and Documentation Support:

  • Advise employees on visa requirements, work permits, and travel documentation

Compliance and Policy Enforcement:

  • Ensure employee travel requests and expense claims comply with company policies and government regulations.
  • Monitor adherence to travel policies, addressing any non-compliance, escalating as required.
  • Maintain and update travel policies to reflect changing regulations and company requirements.

Expense Reconciliation and Finance Coordination:

  • Validate travel expense claims against approved bookings, ensuring accuracy and adherence to policies.
  • Collaborate with finance teams to process expense reports and vendor invoices in a timely manner.
  • Ensure proper cost allocations and timely reconciliation of travel expenses.

Reporting and Data Analysis:

  • Generate detailed travel and expense reports for management and finance teams.
  • Analyze travel expenditure data to identify trends, cost-saving opportunities, and policy improvement areas.
  • Create dashboards and reports to track travel spending, policy compliance, and visa processing efficiency.

SAP Concur System Administration:

  • Provide support and training on the SAP Concur travel and expense platform.
  • Provide user support and training on SAP Concur for employees.
  • Gather and review data from SAP Concur to support audit, compliance, and reporting activities.
  
 
What you need for our CELLebration
  • Bachelor’s degree in Business Administration, Finance, Travel Management, or a related field.
  • 3-5 years of experience in corporate travel management, expense reconciliation, or visa coordination.
  • In-depth knowledge of travel booking systems, visa application processes, and international travel requirements.
  
 
What else can you bring
  • Strong understanding of travel expense policies, auditing, and financial reconciliation procedures.
  • Experience with Microsoft Excel and data analysis.
  • Excellent organizational, problem-solving, and attention-to-detail skills.
  • Strong communication and stakeholder management abilities.
  • Certification in travel management or SAP Concur is considered an asset.
