About the Role

For the initial ramp-up phase of our North American operations we are looking for a Procurement/Operations/PMO Analyst. This position plays a crucial role in coordinating project schedules, tracking deliverables, facilitating collaboration between Procurement, Operations and PMO teams, and maintaining organized documentation. The ideal candidate will have strong communication and organizational skills and be comfortable in a dynamic, fast-paced environment.

 

This position reports directly to the Senior Manager Indirect Procurement – Construction Services and is responsible for independently aligning Project requirements between divisions within PowerCo Canada. This role is key to ensuring seamless communication, efficient project tracking, and effective execution of cross-functional initiatives.

 

This individual must be highly organized and detail-oriented, thrives in fast-paced and fast-changing environments, working closely with the Senior Manager (s) of Procurement and PowerCo SE team members at Headquarters in Germany as well as colleagues from the Volkswagen Group Canada in Ajax to help establish the Procurement division of the new company.

 

This is a flex hybrid work structure, where employees can work both remotely and on-site at our St. Thomas location.

  
 
Key Responsibilities

Project Management Support:

•    Create the RFP timelines for the procurement projects, utilizing project management tools and considering the processes, timing, resources, and capabilities of all PowerCo stakeholders involved in the selection and contracting of external suppliers.
•    Kick off Procurement sourcing projects above 75,000 CAD, getting the involved stakeholders together to understand scope and objectives for the sourcing and to discuss high-level expectations and timelines for the project (s).
•    Coordinate and maintain detailed project schedules across multiple workstreams, ensuring alignment between Procurement and PMO timelines.
•    Monitor project milestones, action items, and deliverables, and provide regular status updates to stakeholders.
•    Organize and document project meetings, including preparation of agendas, distribution of materials, and capture accurate recording of meeting minutes and follow-ups.
•    Assist with change management processes and ensure updates are communicated across relevant teams.

 

Procurement & PMO Collaboration:

•    Act as a liaison between the Procurement and PMO teams to ensure seamless integration of procurement timelines with overall project plans.
•    Track procurement-related dependencies and escalate risks or delays that may impact project  success and schedules.
•    Advise PowerCo’s Business Units on the processes/steps to follow, required documentation and the contact persons on each of the phases of the Procurement process.
•    Ensure the successful completion of the Procurement process until supplier legal contracting and operational ramp-up.
•    Support vendor coordination, including status updates, document tracking, and performance reporting.
•    Assist in preparing and reviewing project-related procurement documentation such as RFPs, contracts, and change orders.
•    Monitor market trends and identify potential suppliers that meet PowerCo Canada’s standards and requirements.
•    Develop and maintain strong supplier relationships to ensure the delivery of high-quality products and services.
•    Collaborate with internal stakeholders to ensure the procurement process aligns with project needs and timelines.

 

Reporting & Documentation:

•    Reporting regularly the overall status of the Annual Procurement Plan to the local Procurement Management as well as to the PowerCo SE Procurement HQ in Germany.
•    Working closely with management and employees to improve work relationships, build morale, and increase productivity and retention.
•    Help ensure adherence to project timelines, budgets, and overall goals.
•    Maintain up-to-date project documentation, dashboards, and reports to support informed decision-making.
•    Develop and distribute weekly and monthly project status reports and meeting summaries.
•    Ensure consistency in project documentation across the department.
•    Support audit-readiness by maintaining organized, accessible files.
•    Provide data and reporting for project performance, milestones, risks, and issues.
•    Assist in the preparation and presentation of project reports, ensuring accuracy and clarity for senior management and stakeholders.
•    Ensure consistent use of project templates, tools, and workflows across projects.
•    Support audits and compliance activities by maintaining organized and accessible records.
•    Performing other related duties as assigned or as they might pertain to the position.

  
 
What you bring to the Team

Education Required: Bachelor’s degree in Business Administration, Project Management, Supply Chain, or related field, Industrial Engineering or related fields

 

•    5+ years of experience in a project coordination, PMO analyst, or procurement analyst role.
•    Strong understanding of project lifecycle phases, including planning, execution, and close-out.
•    Excellent written and verbal communication skills, with experience in writing meeting minutes and summarizing complex discussions.
•    Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
•    Proficient in Microsoft Office (especially Excel, PowerPoint, Word) and project management tools (e.g., MS Project, Smartsheet, or similar).
•    Collaborative team player who can work cross-functionally with multiple stakeholders.
•    Previous knowledge of SAP procurement and Enterprise Management System (EMS)system
•    Previous knowledge of Volkswagen purchasing systems
•    Knowledge of German language is considered an asset
•    CIPS/CPSM/CSCP/CSCM/CSCMP is considered an asset
•    Experience with start-ups and/or mergers and acquisitions strongly desired
