Your role and key responsibilities
|
The Vehicle Program Administrator (6-month contract) will support the Corporate Vehicle Services team by providing coverage during a staff leave and contributing to the enhancement of vehicle program administration, workflows, policies, and processes.
This position is in-person and located in the charming town of St. Thomas ON. This posting is for a currently vacant role.

What you bring to the team
|
Administrative & Program Support
- Provide day-to-day administrative support for the Company Vehicle Program, including vehicle ordering, deliveries, inspections, returns, and key/fuel card management.
- Maintain accurate vehicle records and ensure timely updates throughout the vehicle lifecycle.
- Coordinate activities with internal stakeholders and external vendors to support smooth program operations.
Process Improvement
- Review existing workflows and identify opportunities to improve efficiency, accuracy, and compliance.

Support process improvements related to vehicle ordering, delivery, and surrender, including the creation of supporting tools and procedures.
Documentation & Compliance
- Develop and maintain desk instructions, user guides, training materials, and policy documentation.
- Ensure all documentation remains up to date and aligned with company policies, regulatory requirements, and program standards.
- Support intranet content updates and the creation of compliance resources.
Customer Service & Communication
- Respond to employee inquiries regarding vehicle ordering, deliveries, returns, repairs, and program policies.
- Act as a key point of contact for vehicle custodians and internal stakeholders.
- Build and maintain effective relationships with vendors and internal partners.
Data Management & Reporting
- Monitor vehicle inventory and lifecycle data to support operational decision-making.
- Track key performance indicators (KPIs) and assist with preparing reports, presentations, and program insights.
Systems & Technology
- Maintain accurate data within vehicle management systems and support reporting activities.
- Assist with system updates, testing, and continuous improvement initiatives.
- Support the setup and maintenance of vehicle information, including model and pricing updates.
Collaboration & Accountability
- Work closely with the Company Vehicle Program Specialist and broader team to support daily operations and ongoing improvements.
- Provide backup support for core program activities as required.
- Take ownership of assigned responsibilities and deliver work with a high degree of accuracy, organization, and attention to detail.

What makes you stand out
|
- College diploma or bachelor's degree in Business Administration, Office Administration, or a related field, or an equivalent combination of education and experience.
- 1-3 years of experience in an administrative, operations support, or process improvement role.Strong organizational skills with exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills with fluency in English.
- Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.Proficiency in Microsoft Office applications, particularly Excel; experience working with databases or enterprise systems is an asset.
- Customer-focused mindset with strong problem-solving and interpersonal skills.Ability to work independently and collaboratively within a team environment.
- Experience in vehicle services, fleet management, automotive, transportation, or dealership operations is considered a strong asset.

- Attractive Remuneration: The expected competitive compensation range for this position is $51,090 to $63,860 CAD annually.
- Vacation Allowance: We offer our employees competitive paid time off. Plus, you don’t need to take any vacation days from December 24 to December 31.
