About the Role

We are seeking a highly organized and proactive Administrative Assistant to support our Senior Director of Finance and Chief Information Officer (CIO). The Administrative Assistant will provide comprehensive administrative support requiring a high level of professionalism, discretion, and the ability to manage multiple priorities in a fast-paced and fast-changing environment. Additionally, general administrative support will also be provided will to the Finance and IT teams in daily business operations.

 

This role is required to be onsite at our St. Thomas office 4 days per week, with flexibility based on the needs of the business. 

  
 
Key Responsibilities

•    Manage and maintain schedules, including appointments, meetings, travel arrangements and expenses
•    Effectively manage correspondence, company car / IT concerns, teleconference set-up, translation ad hoc requests, onboarding new team members, etc.
•    Coordinate and organize team meetings, including preparing agendas, taking minutes, and following up on action items.
•    Assist with budget preparation, expense reports, and financial documentation.
•    Liaise with internal and external stakeholders on behalf of the Senior Director of Finance and CIO.
•    Maintain and publish documents on SharePoint
•    Work closely with other team members, providing support as required to ensure the smooth operation of both departments
•    Interface with all levels of the organization within Canada as well as with HQ in Germany
•    Works closely together with other Executive and Administrative Assistants, providing support as required
•    Performs other duties as assigned or as they might pertain to the position
 

  
 
What you bring to the Team

•    Post Secondary education in Business Administration, Finance, or a related field preferred
•    3+ years of experience in an administrative support role within a busy, corporate environment.
•    Strong organizational and time management skills with the ability to prioritize tasks effectively
•    Demonstrated ability to multi-task, ensure attention to detail, and deal with ambiguity 
•    Highly proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
•    Experience with OneDrive, SharePoint, MS Teams, Concur and SAP strongly desired
•    Proven history of developing strong working relationships 
•    Ability to work in a dynamic environment, understand and handle last minute changes with professional demeanor and tact
•    Ability to travel occasionally domestically and internationally
•    Flexibility to work overtime due to ramp-up deadlines, and occasionally to support time zone differences based on the needs of the business
